EXAMINATION POLICY (JUNIOR)


Staff Instructions on How to Conduct Examinations
1. Silence must be insisted on for all examinations. This is to be from the time students enter the examination venue, throughout the examination and until students leave.
2. Examination papers are to be distributed according to the seating plan, placed showing cover sheet on appropriate desks by supervision staff while students are organised in class groups and in alphabetical order in the assembly area.
3. Pre-start check. The supervising Teacher is to instruct students to check that the paper at their desk is the correct year, subject and course, that all pages are printed correctly, etc. Students are to be instructed to indicate any problem by raising their hand in silence.
Once checks are completed the 1 hour examination time period should commence.
4. Supervision is to be done as quietly and unobtrusively as possible. It is to command the full attention of staff. Under no circumstances are teachers to be engaged in their own book work, marking, etc. Supervising Teachers must quietly deal with:
a) Student Equipment – writing pads, rulers, etc – should be checked to eliminate the possibility of cheating as thoroughly as the size of the group will allow.
b) Cheating should be dealt with as quietly as possible so as not to disturb other candidates. Instances of cheating are to be recorded in the Incident Book, the candidates' paper should be notated and the appropriate HT notified as soon as possible. The offending student is to be allowed to complete the exam.
c) Disruptive students who continue to talk and disturb other students, or defy Teachers, after appropriate warnings are to be removed from the examination venue. This will be recorded in the IncidentBook and the offending student/s will be taken to Deputy Principal and allowed/not allowed to complete the examination.
d) Assisting students may be done by clarifying the question asked or by helping the student to read the question. Interpretations of the meaning should not be given. (see Special Provisions Policy)
5. Students finishing early are not permitted to leave the examination. These students should be encouraged to revise their answers quietly.
6. At the End of the Examination students will be directed to cease writing immediately, ensure that their names are on all sections and secure all pages effectively.
7. Students will be directed to leave the examination in an orderly manner by the Teacher in charge. The examination venue is to be left neat and free of rubbish and students' belongings.
8. Teacher in charge is to ensure that all papers are collected, bundled correctly and returned to the appropriate HT.
Junior Examination Policy
Examination Supervision Guidelines and Procedures
1. Examination Venues
1. All junior examinations are to be held in the hall. During all timetabled examination periods there will be up to 210 students from different class groups attempting papers which represent different courses and subjects.
2. A seating plan outlining class groups and their corresponding examination papers will be included with supervision rosters distributed to teachers. Additional copies of the roster will be placed in the hall.
3. Exceptions to hall examinations include courses requiring practical examinations, specific equipment, rooming or specific supervision. Faculties should indicate these requirements at the beginning of the examination timetabling process.
2. Examination Papers
1. Exam papers are to be provided by faculty areas and prepared in plenty of time to be copied and collated. Exams will be stored in the duplicating room until required prior to the time of examination.
2. All examinations papers must have a standard cover sheet indicating:
the examination period (eg. Yearly, Half Yearly, Grading Examination, etc)
the Year (eg. Year 7)
the subject or course (eg. Music, Geography, PD/H/PE, etc)
the level (eg. Advanced, Intermediate)
time allocated – 1 hour
marks allocated/examination weighting
general instructions
3. Students will be notified of expected examination conduct at year assemblies, and in writing on the examination timetable. All faculty specific equipment requirements for examinations must be clearly conveyed to students prior to the examinations, as well as the statement "Borrowing will not be permitted".
4. Exams for students requiring special provisions should be bundled separately and stored with corresponding papers.
3. Length of Examinations
1. Length of all junior examinations will be 1 hour except:
- where a faculty indicates a longer examination is required
- where special provisions require extra time
The prescribed length of 1 hour provides up to 15 minutes of an examination period for set up of papers prior to start and for organisation of student entry into the hall.
2. Practical examinations and those requiring specific equipment, rooming or supervision (ie: those not held in the hall) may be set for time lengths other than 1 hour (eg: 1 period) to be decided by faculties.
4. Collection of Papers
1. For all timetabled junior examination periods a Teacher or Head Teacher will be designated Òin chargeÓ at each venue, indicated on the supervision roster. This teacher is to collect papers for ALL timetabled examinations for that exam venue, as well as ensuring corresponding Special Provisions papers are collected or sent as required.
2. For examinations held in venues other than the hall, the supervising Teacher will be designated in charge indicated on the supervision roster.
3. Papers are to be collected only by the designated Teacher in charge. Unauthorised removal of papers could cause confusion and delay the start of an exam.
5. Hall Examinations
1. All supervising Teachers are required at the hall as soon as practicable at the start of the examination period to correctly set out papers and organise student entry.
2. Students will be notified on their examination timetable and through daily notices to assemble in the lower level of the Quad. Students are required to be in class groups and alphabetical order. This will be facilitated by the Teacher or Head Teacher in charge using PA and microphone from Deputy's office, assisted by some supervision staff.
3. Examination papers are to be distributed according to the seating plan, placed showing cover sheet on appropriate desks by remaining supervision staff.
4. Students will be directed into the hall by the Teacher in charge, class group by class group and seated according to the seating plan.
5. Silence must be insisted on once students enter the hall.
6. An Incident Book will be placed in the hall for supervising staff to record any significant matters during exams including student assembly, entry and conduct. Supervising staff should note students arriving late, attempting to talk or borrow items and general misconduct, as well as early leavers and requests to go to the toilet. This is to be forwarded to appropriate Head Teachers.
6. Classroom Examinations
1. Students will be notified of classroom examinations on their timetable and through daily notices. 2. Students are to line up quietly outside the examination room to be given instruction about specific examination procedure and equipment. Students may not enter the room until instructed to do so by the supervising Teacher.
3. Silence must be insisted on at all times inside the examination room.
4. Supervising staff should note students arriving late, attempting to talk or borrow items and general misconduct, as well as early leavers and requests to go to the toilet. This is to be forwarded to appropriate Head Teachers.
